Everything you need to get your workspace up and running, and get the most out of RailContent.

Getting Started

Set up your workspace in 15 minutes

A first-time walkthrough for a brand-new company account.

1

Create your workspace

Sign up with your company name — this becomes your unique Company ID for logging in later.

2

Add your channels

A channel represents a brand, platform, or account you publish to — add one for each you manage.

3

Build your first workflow

Define the stages content moves through (e.g. Research → Draft → Review → Published) for each channel — drag and drop to reorder them.

4

Invite your team

Add team members from Team settings, assign each a role, and set which tabs they can access.

5

Add your first content

Create a content item manually, or bulk-import an existing calendar from a CSV/XLSX file.

6

Watch it move

As tasks get marked complete, content automatically advances to the next stage — no manual tracking needed.

Content Operations

Running production day-to-day

Practical guidance for keeping content moving once your workspace is set up.

🗂️

Workflow design

  • Keep stages short and specific — 5-8 stages works well for most teams.
  • Set a Default Assignee per stage so tasks route automatically.
  • Use different workflows per content type if your process varies.
✅

Task management

  • Every stage change creates a task for the assigned role automatically.
  • Filter the Tasks view by role, channel, or due date to focus your day.
  • At-risk content is flagged before it becomes a missed deadline.
👥

Team coordination

  • Mark members Available/Away so work isn't assigned to someone off this week.
  • Check Team Workload before adding a new deadline to a busy week.
  • Use Revisions with a reason attached, so feedback isn't lost in chat.
📊

Production visibility

  • The Dashboard adapts to your role — Owners see everything, members see their own queue.
  • Production Bottlenecks shows exactly which stage is piling up.
  • Export any view to CSV/XLSX for reporting outside RailContent.

Common questions

How many team members can I add?

This depends on your plan — see the Pricing page for limits per plan. You can invite more any time from Team settings.

Can I change my workflow after I've already added content?

Yes. Existing content stays at its current stage, and new stages you add apply going forward. Nothing gets lost when you adjust a workflow.

What happens to my data if I cancel?

Your workspace and data are kept safe after cancellation — nothing is deleted. You can resubscribe any time and pick up right where you left off.

Can I have different workflows for different channels?

Yes — each channel can have its own workflow, so a YouTube channel and a blog can move through completely different stages.

Can I import content I already have in a spreadsheet?

Yes, use CSV/XLSX import from the Content view — map your existing columns to RailContent's fields and it imports in bulk.

How do permissions work?

Each role can be given access to specific tabs (like Tasks or Company Settings). Owners and Managers configure this from Roles & Access.

What can the AI tools actually do?

Six tools help with the content itself — Script Writer, Topic Research, Title Generator, Thumbnail Analyzer, SEO Optimizer, and Competitor Analysis. A seventh, AI Performance Insights, reads a connected channel's own real YouTube numbers and tells you what's actually working. Which tools are included depends on your plan.

How does YouTube integration work?

Connect a real channel under YouTube Analytics (a normal Google sign-in) to see its subscribers, views, and top videos inside RailContent. Once connected, you can also link it to a workflow so content can be published or scheduled directly from the Publisher stage.

How can clients review content without an account?

Generate a no-login review link from any content item. The client opens it, sees the deliverables, and clicks Approve or Request Changes — no signup needed on their end. Links expire after 30 days.

What payment methods do you accept?

PayPal and card (via Stripe) activate instantly. Bank Transfer, JazzCash, Easypaisa, and Crypto are also available and are reviewed manually — which methods are shown depends on what's currently enabled.

Can I run more than one company under one account?

Yes — if the same email owns more than one company, a workspace switcher lets you move between them instantly without logging out.

Can I remove RailContent branding for my clients?

On plans that include White-Labeling, yes — the "Powered by RailContent" tagline, favicon, and outgoing emails all drop the branding so it reads as your own tool.

Is two-factor authentication available?

Yes — any team member can turn on 2FA from their profile, with an authenticator app and backup codes.

I still have a question — what do I do?
